QA Workflow - Admin Tasks


Log in to your account: https://digital.chemheritage.org/admin

Create New Work:

                From top admin navigation bar, select Works > New Work.         

                                Alt workflow: Select Create Work on admin dashboard.

In Share tab: share work with user dsanford.

                In Relationships tab: add work to Bodensee or Beckman Collection.

                In Files tab: upload 20 tiff files.

                In Descriptions tab: while files are uploading, fill out all metadata fields.

                                Check that FAST auto-complete is working for Subject field.

                In save work box: set visibility to “Your Institution” for CHF staff only. Press Save.

Alt workflow: Order of operations may change. For example, some users do visibility first, then start the upload.

Edit Same Work:

Search for published item and open record show page. Click “Edit” button.

                                Alt workflow: Locate work in “My Works” page.

In save work box, change visibility to “public”.

In Relationships, remove from Bodensee Collection and attach child work.

Remove and add subject headings.

Save record.

In record show view, click “File Manager” button (which appears for multi-image works only.) 

Move files around. Select “Sort Alphabetically”.

Set new thumbnail and representative image. Save record.

In record show view: Download item and open it.

Under thumbnail, select Admin > Edit. Download image. Hit back button.

Under thumbnail, select Admin > File detail. Download image.

Add Child Work:

                From parent work, select Edit > Relationships.

Click on “Attach New Work”.

Follow all steps for “Create New Work” above.

Alt workflow: First follow the “Create New Work” workflow above and then navigate to the parent work via a search and select Edit> Relationships.

Under “Child Work” begin typing the title of the work you just created. The child work title should autocomplete. Click on the title.

Save the parent work.

Create New Collection:

                From top navigation bar, select Collections > New Collection.

                Complete all fields and select Create Collection.

                Add works and save.

Add Works to Existing Collection:

                From homepage, scroll to Browse Collections and choose one (Beckman Historical Collection).

                On Collection landing page, click Add Works button.

                Select a few works and click Add to Collection button.

                Within the Collection list, click Beckman Historical Collection. Click Update Collection.

Batch Create Works:

                From top navigation bar, select Works > Batch Create.

                In Share tab: share work with user mdimeo.

                In Relationships tab: add to Test Collection.

                In Files tab: select Add Files and upload 4 tiff files.

While it is uploading, upload an additional file and cancel a file.

                In Files tab: Set all to image format (which is only available after all uploads are completed).

In Descriptions tab: Fill out required fields.

Save work.

Batch edit 4 works:

From top navigation bar, select My Works. View or search results in search bar dropdown.

When items are checked, “Edit selected” button will appear for batch functionality.

                Set Rights to Public Domain.

                Set visibility to Public.

                Share with user jrochkind.

                Save work.
